This policy explains what On the Bell collects, why, and who can see it. On the Bell is a meet-day scheduling and text-alert service used by competition hosts and the people who follow their events. The short version: we collect what’s needed to send you the texts you signed up for and to run the Service, we don’t sell personal information, and we never share your mobile number or opt-in with anyone for marketing.
1. Information we collect
From text-alert subscribers
- Your mobile number, and the name you optionally enter.
- Which meet, sessions, athlete, or team you chose to follow.
- Your consent record: how you opted in (keyword text or sign-up page), when, and any STOP or START you send later.
- Delivery status of each text we send you, as reported by our messaging provider.
From hosts and their staff
- Your email address, name, and host organization, used to sign you in and identify your account.
- Meet details you enter: names, dates, venue, schedule, and the messages you compose.
- Rosters you upload: athlete names, club or team, level or division, and similar entry data. Hosts provide this data and are responsible for it; we process it on the host’s behalf to run the meet.
- Billing records for message-credit purchases. Card details go directly to Stripe and never reach our servers.
Automatically
- Standard server logs (IP address, browser type, pages requested, timestamps) used for security and troubleshooting. We don’t use third-party advertising trackers.
2. How we use it
- To send the text alerts and live program links you subscribed to.
- To let hosts run their meet: manage the schedule, the roster, and who gets which messages.
- To honor opt-outs immediately and keep an audit trail of consent, as the law requires.
- To bill hosts for message credits and provide receipts.
- To secure, troubleshoot, and improve the Service, and to respond to support requests.
3. Text messaging and your mobile information
When you opt in to On the Bell meet alerts, your mobile number and consent are used solely to send you messages about the meet you chose. Message frequency varies; up to 15 messages per meet day. Message and data rates may apply. Reply STOP to cancel at any time and HELP for help. Full program terms are in our Terms of Service.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except as necessary to deliver the messages you requested (for example, our SMS delivery provider).
4. Who we share information with
We don’t sell personal information. We share it only with:
- The meet host you subscribed to. The host sees the mobile numbers, names, and follow choices of that meet’s subscribers so they can send meet messages. Hosts agree to use it only for that meet.
- Service providers that operate the Service for us: Twilio (SMS delivery), Stripe (payments), Microsoft Azure (hosting), and our transactional email provider. They process data only on our instructions.
- Law and safety. When required by law, subpoena, or to protect the safety of people at an event or the integrity of the Service.
5. Children
Many athletes at the competitions we serve are minors. Athlete names and entry details come from the host’s roster, not from the child, and are shown only in the context of the meet program. We do not knowingly collect personal information directly from children under 13, and text subscriptions are for adults (a parent, guardian, coach, or the athlete if 18 or older). If you believe a child has provided us information directly, contact us and we’ll delete it.
6. Retention
- Subscriber numbers and follow choices are kept for the life of the meet record so hosts can reference who was notified. Opt-out records are kept indefinitely so we never text a number that asked us to stop.
- Host accounts and meet data are kept while the host account is active and for a reasonable period after.
- Message delivery logs and server logs are kept for a limited time for troubleshooting and compliance.
7. Security
Data is encrypted in transit and at rest, hosted on Microsoft Azure, and access is limited to what the Service needs. Host sign-in uses one-time emailed codes; no passwords are stored. No system is perfectly secure, so please contact us right away if you suspect a problem.
8. Your choices
- Stop texts: reply STOP to any message. This takes effect immediately.
- See or delete your data: email hello@onthebell.com from the address or number in question. Hosts can remove contacts and meet data from their own account.
- State privacy rights: depending on where you live, you may have rights to access, correct, delete, or port your information and to not be discriminated against for exercising them. Use the contact below; we’ll verify the request and respond as the law requires.
9. Changes
We’ll post updates here and change the effective date at the top. If a change materially affects how we use your mobile number, we’ll notify subscribers by text before it takes effect.
